The Role – Receptionist and Administrative Officer

We are seeking a receptionist and administrative officer to join our operations team. This role requires a motivated and energetic individual with a hands-on approach, capable of prioritizing effectively and maintaining composure under pressure. The ideal candidate will be a dedicated team player who is detail-oriented, enthusiastic and committed to providing excellent client service.

Key Responsibilities:

  • Welcome clients and provide exceptional customer service.
  • Assist clients over the phone, offering guidance and support.
  • Offer flexibility in supporting our branches daily.
  • Manage meeting arrangements and prepare meeting rooms.
  • Handle client account maintenance.
  • Assist the Operations team with tasks such as:
    – Issuing contract notes.
    – Conducting reconciliations.
    – Regulatory reporting.
    – Coordinating mailshots.
    – Processing purchase and sale orders with fund managers.
  • Support the team and management with general administrative tasks.
  • Maintain records by filing and scanning them into automated systems.

Requirements:

  • Experience in the financial services industry is considered an asset.
  • Proficiency in MS Office Suite, particularly in Excel and Adobe.
  • Customer-facing experience is advantageous.

Skills:

  • Friendly, patient, and adaptable to fast-paced environments.
  • Strong team player with excellent attention to detail.
  • Effective at prioritizing and meeting deadlines, with problem-solving skills and attentive listening abilities.
  • Language Proficiency: Excellent communication skills in both Maltese and English.
