Junior Administration and Operations Officer
The Role
We are looking for a Junior Administration and Operations Officer to join our dynamic Operations team. This role requires a motivated and energetic individual with a hands-on approach, capable of prioritising effectively and maintaining composure under pressure. The position offers exposure to a variety of operational and administrative duties, while also acting as a key point of contact for clients visiting our offices.
Responsibilities include:
- Preparing and issuing contract notes.
- Performing reconciliations.
- Assisting with regulatory reporting requirements.
- Coordinating company mailshots.
- Processing purchase and sale orders with fund managers.
- Supporting client account maintenance and record-keeping.
- Scanning and filing into both digital and physical files.
- Managing social media updates.
- Ordering stationery and office supplies.
- Coordinating meeting arrangements and ensuring meeting rooms are prepared.
- Providing a welcoming and professional first point of contact for clients in person and over the phone.
About You
We are looking for a self-motivated and energetic individual with the ability to prioritise and work effectively under pressure, with a hands-on approach and a ‘can do’ attitude. You must be a committed team player, meticulous, and enthusiastic, with a strong commitment to client service excellence.
Education & Experience
- Experience in the financial services industry is considered an asset.
- Proficiency in MS Office Suite, particularly Excel and Adobe.
- Customer-facing experience is advantageous.
- An adaptive team player who is highly organised, meticulous, and attentive to detail.
- Excellent analytical skills, attention to detail, and strong organisational abilities.
- MUST be fluent in written and spoken English and Maltese.
