Who we are

Jesmond Mizzi Financial Advisors Limited are the data controllers as defined by relevant data protection laws and regulations. We control and are responsible to keep and use personal data in paper or electronic files. In all recruitment processes we commit to keeping your data safe and confidential, and to be transparent about the job and employer. We will not use your personal information or contact details which you submit through this job application for anything other than your job application.

Applications

We will only accept applications sent to JMFA’s HR Department via the form on our website as per instructions on the Careers section of our website. Your application will not be used for anything else except the vacancy you have applied for. We will only request information from you that is relevant to the selection decision to be made. Only the HR department and the relevant departmental management who will be involved in the selection process will have
access to your application.

If we are recruiting through a recruitment agency we will ensure that appropriate data protection agreements and measures are in place so that your privacy is always protected.

Short listing

Short listing of the applications received is made by the HR Department against the criteria stated in the vacancy advert and not by any automated process. We may ask you to carry out a psychometric assessment (carried out by people trained to run them) and you would be able to request a copy of the results.

Interviews

During the interview process, we will again only ask information that is relevant to you, your vacancy application and the selection process of that particular vacancy. If we think you may be suitable for another open vacancy within the group, we will inform you and may ask you questions related to that vacancy if you agree to it.

At this stage, we may ask you if you can provide us with the name and contact details of a referee, and by providing this information to us, you are authorising us to contact the person you name to ask about you and the way you work.

Later on in the recruitment process, if you are considered for a job offer we will ask for further information which will be related to employment and payroll administration, fitness and properness for the job being offered, verification of the details you provided with your application and information to safeguard your health and safety, as well as your introduction to the company and new colleagues.

Verification

If we feel that you are a suitable candidate for a position within JMFA, upon giving you a job offer, we will ask you to verify certain information you have provided in your CV, such as your address through your Identity Card, your qualifications through provision of original certificates, amongst others. We will take copies and return the originals to you. If we find a discrepancy, we will give you the opportunity to provide an explanation.

Pre-employment vetting

We will carry out the appropriate procedures for due diligence when hiring employees following the FIAU Implementing Procedures, Chapter 7.4. We will also need to establish that individuals employed with JMFA are fit and proper for the job which means that we have to establish whether a person has the integrity, competence and financial soundness to carry out the job, as per Chapter 4, Section 3 of the MFSA Investment Services Rules for Investment Service Providers. In this regard, we will ask you to provide us with a recent copy of your police conduct. You may be asked to undergo a medical examination and we may also have to carry out some background checks and vetting. However, we will never contact anyone to ask information about you without your permission or collect information that is from unreliable sources or that is irrelevant to the vacancy you are applying for and our selection decision.

Retention of recruitment records

If we choose not to employ you or you decide not to accept our job offer we will retain all applications received for 6 months from the collection of this data. The information will then be disposed of confidentially. However, we will retain the record of all interviews held and the interview result for two years to facilitate processing of future applications.

Your rights

You have the right to access your personal data and ask JMFA to update or correct the information held or delete such personal data from our records if it is no longer needed for the purposes indicated above.
